CollectionOD App



Basic support about the online app that integrates with the CollectionOD

The CollectionOD App is developed using responsive techniques which means it adapts depending on how you are viewing the app, i.e. via a smart phone, table, laptop or desk top.

Branding: the app is branded using your corporate / organisation's logo, colours, etc.

Once the app is setup with your data and images you will be directed to a site with a login - username and password will be provided.

Access details: from your login various options will be available - this will be arranged with you when setting up the app. These are the main levels of access:

  • View only: staff / associates have complete functionality such as searching, viewing documentation, images, ... Really useful when walking around your collection and you need to look up some documentation, see other items in the same storage location, and much more. This is also useful when away from your collection in a meeting or doing some research.
  • Edit only: this mode let's you edit the documentation which is ideal for doing measurements, checking the medium, recording an inscription, etc. You can also compare initial documentation along side the edits. Hence, you or someone else, verifying the edits prior to updating the main data.
  • App options: depending what is assigned, you can do a stock take / count; capture evaluations; and record or update storage and movement details. Each user can be assigned one or more of these app options. This means you can have someone doing a stock take / count and someone else doing an evaluation.

After login you will see a Home screen with information about the app and search options.

App mode: your login detects what app modes are available to you. Click Apps to view and select a mode. The mode you are in is displayed on the top right of your screen (see image example).

Item documentation: you can edit an item which keeps a record of changes including the original. This is useful when walking around your collection and making updates to the documentation. Note: depending on your mode the details are displayed at the bottom of the documentation (see image example using Evaluation mode).

Totals: various totals are displayed on this page depending on the mode you are in, i.e. in Evaluation mode the relevant totals are displayed.

Project complete: once the project is complete the data is imported into your main CollectionOD data file. Using this approach mean you can continue to capture on the main database while the app project happens online. The app data can also be verified prior to importing into the main data file.
